This policy explains how Phora (ABN 75 772 778 194) collects, uses, stores, and protects personal information in connection with our real estate photography, videography, drone services, social content, and related media services — delivered through our website, our client portal, and the Phora mobile app for real estate agents — across the Sunshine Coast and throughout Australia.

By using our website, our client portal, our mobile app, or by engaging our services, you agree to the practices outlined in this Privacy Policy.

1. What We Collect

We collect two types of information:

a) Personal Information

This is information that identifies you, such as:

  • Name
  • Email address
  • Phone number
  • Business name
  • Agency name
  • Property address
  • Billing information
  • Payment details (where applicable)

We collect personal information when you:

  • Submit an enquiry form
  • Request a quote
  • Book our services
  • Create an account or use our mobile app or client portal

3. Our Mobile App and Client Portal

We provide the Phora mobile app (iOS) and an online client portal for the real estate agents we work with. Access is invite-only: you sign in with an email address we have invited, and there is no public sign-up.

When you use the app or portal, we collect and store the following, all linked to your account:

  • Your account email address and a unique user ID, used to sign you in and keep your account secure.
  • Your display name, which you enter when setting up your account.
  • Your booking requests — including the property address, your preferred dates, and any notes you add — so we can schedule and deliver your shoots.
  • If you turn on notifications, a push notification token for your device, used only to send you updates about your bookings and deliveries. You can turn notifications off at any time in your device settings, and we remove the token when you sign out or delete your account.

The app only ever saves the photos we deliver to your device’s photo library when you choose to download them — it never reads or accesses the rest of your camera roll or photos.

The Phora mobile app contains no advertising, no analytics, and no third-party tracking of any kind.

4. Cookies and Tracking Technologies (Website)

On our website, we use cookies and similar technologies to:

  • Improve website functionality
  • Remember user preferences
  • Analyse website traffic
  • Measure marketing performance
  • Improve advertising effectiveness

Cookies do not provide access to your computer or personal files.

These providers are required to handle information securely and only for the purposes for which it was supplied. Phora does not sell personal information to third parties.

Some of the third-party providers we rely on store or process personal information outside Australia, including in the United States. 7. Data Retention

We keep personal information only for as long as we need it:

  • Account information (such as your email, user ID, and display name) is kept while your account is active and is deleted when your account is deleted.
  • Booking and project records may be kept for our business and legal record-keeping — including records connected to transactions, which we may retain for up to 7 years as required under Australian law.
  • Push notification tokens are removed when you sign out or delete your account.

We may retain limited information where it is required to meet legal, tax, accounting, or dispute-resolution obligations.

8. Property Media and Marketing Content

When engaging Phora to photograph, film, market, or promote a property, you acknowledge and agree that:

  • You have authority to engage us on behalf of the property owner, vendor, agency, or relevant party.
  • You have obtained all necessary permissions to allow photography, videography, drone capture, and marketing of the property.
  • Any personal items, documents, valuables, or identifying information visible within a property remain the responsibility of the property owner or occupant.
  • You authorise Phora to capture, edit, and deliver marketing content relating to the property and associated campaign.

Where legally permitted, Phora may use completed projects, images, videos, and promotional materials for portfolio, website, social media, advertising, and business development purposes unless otherwise agreed in writing.

9. Drone Operations

Where drone photography or videography is provided:

  • All drone operations are conducted in accordance with applicable Australian aviation regulations.
  • Property owners and clients acknowledge that surrounding properties, streetscapes, and public areas may be incidentally captured where necessary for marketing purposes.
  • Phora takes reasonable steps to minimise unnecessary collection of personal information during aerial operations.

10. Communications

We may contact you to:

  • Confirm bookings
  • Deliver project updates
  • Provide completed media
  • Respond to enquiries
  • Send relevant business updates
  • Request feedback regarding our services

You may unsubscribe from marketing communications at any time.

11. Data Security

Clients are encouraged to remove sensitive or personal materials before photography or filming takes place. Phora is not responsible for information unintentionally visible within approved marketing content that was not requested to be removed prior to publication.

Our website may contain links to third-party websites.

We are not responsible for the privacy practices, content, or security of external websites and encourage users to review their privacy policies separately.

14. Your Rights

You may request to:

  • Access personal information we hold about you
  • Correct inaccurate information

  • Request deletion of personal information, subject to legal and contractual obligations

We may update this Privacy Policy from time to time to reflect changes in our services, technology, or legal obligations. The date shown at the top of this policy indicates when it was last updated.
